Daily Planner Calculator – Complete Step-by-Step Guide
What is the Daily Planner Calculator?
The Daily Planner Calculator is an interactive tool designed to help you organize your day efficiently. It allows you to list up to 6 tasks, allocate time for each one, and get instant feedback on how your day is scheduled. The calculator shows you total time allocated, free time remaining, and time utilization percentage in real-time.
Step 1: Open the Calculator
Save the HTML code as a file named daily-planner.html on your computer. Double-click the file to open it in your web browser (Chrome, Firefox, Safari, Edge, etc.). You’ll see the Daily Planner Calculator interface with a blue header that says “📅 Daily Planner Calculator.”
Step 2: Read the Instructions
At the top of the form, you’ll see a blue instruction box with the heading “⏰ How to use this planner.” This section explains that you can:
- Add up to 6 tasks for your day
- Allocate time for each task in minutes
- Track your day’s total hours and remaining free time

Step 3: Set Your Total Work Hours
Scroll down to find the field labeled “Total work hours available today.” This is where you input how many hours you plan to work. By default, it’s set to 8 hours (a standard work day). If you work different hours:
- For a 9-hour workday, enter 9
- For a 6-hour workday, enter 6
- For a 10-hour workday, enter 10
This is the most important field because all other calculations depend on it.
Step 4: Add Your First Task
Find the field labeled “Task 1” and enter your first task name. For example:
- “Morning Meeting”
- “Email & Admin”
- “Project Work”
- “Lunch Break”
Be specific so you remember what this task is about.
Step 5: Allocate Time to Task 1
Right below the Task 1 field, you’ll see “Time allocated (minutes).” Enter how many minutes you want to spend on this task. For example:
- Morning Meeting: 60 minutes
- Email & Admin: 45 minutes
- Project Work: 120 minutes
Important: Always enter time in minutes, not hours. So 1.5 hours = 90 minutes.
Step 6: Repeat for All Tasks
Repeat Steps 4 and 5 for Tasks 2 through 6. You don’t need to fill all 6 tasks—add only the tasks you plan to do today. For example:
- Task 1: Morning Meeting (60 min)
- Task 2: Email & Admin (45 min)
- Task 3: Project Work (120 min)
- Task 4: Lunch Break (60 min)
- Task 5: Client Calls (90 min)
Step 7: Watch Your Summary Update in Real-Time
As you enter tasks and times, the ” Your Daily Schedule ” section updates automatically. It shows:
- Total Allocated Time: How many hours you’ve scheduled
- Free Time Remaining: Hours left after tasks
- Time Utilization: Percentage of your day that’s scheduled
- Progress Bar: Visual representation of time usage
Step 8: Review Your Daily Plan
Check if your schedule looks balanced. If you’ve allocated too much time (over 100%), consider reducing some tasks. If you have too much free time, you might add more tasks.
Step 9: Submit Your Plan
Click the blue “Submit Your Plan” button at the bottom. This displays a confirmation page showing:
- Tasks Scheduled percentage
- Time Allocated in hours
- Free Time remaining

Step 10: Review the Confirmation Message
The thank you page displays your plan summary and provides helpful tips like:
